How to Purchase from Walmart or Sam’s Club
Purchasing miscellaneous items from Walmart or Sam’s Club that aren’t covered by specific contracts is allowable provided the following guidelines and processes are adhered to:
Walmart
- All purchases must be processed via the use of your 91¶ÌÊÓƵ P-Card and an in-store Walmart tax exemption card.
- In order to obtain a Walmart tax exemption card, you must first apply for a card at the customer service desk. You will need to provide the sales associate a copy of your 91¶ÌÊÓƵ identification card and the 91¶ÌÊÓƵ tax exemption documents that can be accessed here.
- It is the responsibility of each user to ensure that all purchases are processed tax exempt and that the items purchased are considered allowable by 91¶ÌÊÓƵ policy and state regulations.
- No personal purchases may be made with this tax-exempt account.
- Food purchases, for on campus consumption or storage, require a waiver from food services (Aramark)
- Card must be used in-store and will not work for online purchases
- You must use a lane with a cashier. Self-Checkout does not support the use of tax-exempt cards.
- Present the card to the cashier before scanning your first items. This customer ID number should work at any Walmart location in the State of Alabama.
- If additional documentation is required, please present the letter of tax exemption from the Department of Revenue (page 2) and your Campus ID.
Sam’s Club
- All purchases must be processed via the use of your 91¶ÌÊÓƵ P-Card and requires a Sam’s tax exemption account.
- In order to obtain a Sam’s Club tax exemption account and card, you must first apply for an account at the customer service desk. You can choose either a Standard or Plus account. You will need to provide the sales associate a copy of your 91¶ÌÊÓƵ identification card and the 91¶ÌÊÓƵ tax exemption documents that can be accessed here. You will also need to provide a memo on departmental letterhead listing the names of all staff members who are authorized to accept a Sam's Club membership card.
- It is the responsibility of each user to ensure that all purchases are processed tax exempt and that the items purchased are considered allowable by 91¶ÌÊÓƵ policy and state regulations.
- No personal purchases may be made with this tax-exempt account.
- Food purchases, for on campus consumption or storage, require a waiver from food services (Aramark)
- Only approved food and beverage purchases, for snacks and occasional meals, are allowable at Sam’s Club.
- The Sam’s Club Plus membership grants you access to stores from 8am to 8pm.
- Card must be used in-store (presented to the greeter at the entrance) and will not work for online or app purchases.
- Your card should work, and grant you tax exempt status, at any Sam’s Club location within the US.
- You may use Self-Checkout or Cashier lanes for checkout.
- Your card must be swiped before transactions.
**IMPORTANT: You must select tax exempt when prompted. - If you fail to select tax exempt, you are responsible for the taxes associated with the purchase regardless of store location or travel status.
- Payment, for all tax-exempt purchases at Sam’s Club, should be made with your University issued P-Card.
- When prompted for a receipt, select EMAIL & PRINT.
- You may be required to show your receipt to a Sam’s Club employee before exiting the store.
